Salary range: General Salary Range H: $59,559 to $69,022 per annum
Starting salary will be dependent on skills and experience of the successful applicant.
Kōrero mō te Tūranga - About the Role
We are looking for a Certification Administration Coordinator to join New Zealand Food Safety in a permanent full-time capacity. This position is based at the MPI Office, Christchurch with hours of 8.00am-4.30pm Monday to Friday.
As an Administration Coordinator, you will be part of our close-knit team. We are looking for someone who is well organised, and able to prioritise. You will be working with multiple stakeholders internally and externally and it is a great opportunity for someone who prides themselves in their ability to function to exact deadlines with high attention to detail and professionalism.
This is an exciting opportunity for someone to be part of the New Zealand government to issue certification and facilitate trade from New Zealand to overseas countries.
Core functions will include:
- Stakeholder communication and answering internal and external enquiries
- Email mailbox management and maintenance for Christchurch certification and Live Animals as well as all incoming mail and outgoing dispatch.
- Preparation of documentation and final checks, data entry into systems and databases and filing paperwork.
- Advising live animal clients on processes and requirements, checking certificates for correctness, ensuring all required supporting documentation has been provided, organising which vets will sign the certificates and ensuring they are available when the client arrives.
- Processing and management of security paper and MPI Official Seals.
- Support the Christchurch Certification team including the Live Animal team in all administration coordination and other office support services as required.
The Certification unit work in a constantly evolving environment, so specific work activities may change in line with changing business needs.

You will be a great collaborator and will engage with the Team Leader Certification and the wider VS team to organise and prioritise your work and ensure turnaround times are met.
This position may be well suited to someone from an export background or account management who is looking for the next step in their career.
To be successful for this role, you will have:
- Excellent customer service and communication skills (face-to-face, telephone and written) with internal and external stakeholders
- Quality focus and works well under pressure
- Excellent time management skills: Be able to organise, prioritise, multi-task to efficiently accomplish tasks and meet objectives
- Strong administration background and accurate data entry skills
- High attention to detail and the confidence to gather, organise and understand information
- Demonstrate integrity and trust, ethics and values, resilience, adaptability, and openness
- Have good computer literacy – can operate standard and customised software to a high standard e.g. word-processing, excel, internet, email, databases.
Mō te peka - About the Team
This role sits within the Christchurch Certification Team within the Verification Services Directorate of New Zealand Food Safety. Verification Services (VS) provides a range of food safety and biosecurity verification and certification services to support market access strategies for New Zealand.
Reporting to the Team Leader Certification, you will work closely with two certification administration coordinators who are also based at the Christchurch office and a team of certifiers based nationally to ensure excellent service delivery to exporters and importers.
