Ngā kawenga | About the role

Matawhāiti and Tōruatanga are residential facilities for high-risk people in the community who are subject to community-based sentences or orders (including public protection orders, extended supervision orders, intensive monitoring orders, parole and other community-based sentences). These facilities are designed to assist the people who are living there to learn valuable life skills to reintegrate successfully back into the community and lead offence free lives. Some residents require long term home-for-life care, while some require transitional intensive reintegration and others emergency accommodation.

This role will involve communicating directly with residents in our care and working with our Residential teams.  Your day-to-day role will see you proactively providing a range of administrative support to Managers, including:

  • Co-ordinate health and safety processes, day to day facilities and resource management
  • Administration of resident trust accounts
  • Co-ordinate and organise functions, seminars and bookings as required
  • Assist your team members with formatting of correspondence, reports and other documentation as required
  • Provide assistance to team members seeking assistance with basic IT technical needs
  • Maintain adequate office supplies including timely ordering of replacement stock
  • Arrange travel and accommodation as needed
  • Minute taking and meeting organisation across any a range of portfolios

In this varied role you will enjoy working as the sole support administrator in a challenging and fast paced environment, remain adaptable, follow and adhere to policies and procedures, and have sound judgement in prioritising tasks and activities to meet deadlines.

This is a full-time position, ideal hours are Monday to Friday, 8.30am – 5pm, however flexibility may be available to the suitable applicant.

He kōrero mōu | About you 

We are looking for someone with great administration experience and the understanding of what it takes to run an office and support a busy team. However, this is not just a back office role, we are also looking for someone who is a great communicator with sound relationships skills who will engage with our residents as required. Other key skills and attributes we are seeking include the following:

  • Manaaki and respect for all that we deal with on a day-to-day basis
  • Good experience and knowledge of office administration
  • Resilience when dealing with difficult situations in changing environments and a pragmatic approach to problem solving
  • Effective time management skills, able to meet deadlines while also multi-tasking and adjusting priorities
  • A collaborative team player who helps to bring the team together
  • Acceptance and open-ness to work with a wide range of people, from all walks of life, while maintaining a friendly and non-judgemental attitude
  • A high level of integrity and the ability to maintain privacy while working with sensitive and personal information
  • Good knowledge of computer software and database systems including Microsoft Office suite (Word, Outlook, Excel), with the ability to learn new systems quickly

Please note: You will need a full New Zealand Drivers Licence for this role (an International Licence is not applicable).

Utu ā-tau | Salary

The salary range for this role is split across 3 levels, Level 1 $55,000, Level 2 $58,367 and Level 3 $62,084 per annum. Appointment and remuneration will reflect skills and experience relevant to the role.
