Key Responsibilities:
- Administrative Support: Handle day-to-day office operations, including scheduling meetings, maintaining office supplies, and general office organisation.
- Job Order Management: Track and manage job orders, ensuring they are processed efficiently and accurately. Coordinate with the engineering team to ensure project timelines are met.
- Client Communication: Respond to client inquiries, take calls, and follow up on emails from both existing clients and potential new business. Ensure all client queries are addressed promptly and professionally.
- Team Coordination: Provide instructions and guidance to the team, ensuring clear communication and smooth workflow. Be firm and confident in directing the team, while also offering patience and support to workers who may have language barriers.
- Document Management: Maintain accurate records of job orders, invoices, contracts, and other important documents. Ensure all paperwork is completed and filed correctly.
- Customer Service: Act as a friendly and professional point of contact for clients, managing relationships and ensuring satisfaction with services rendered.
- Experience: Experience in an administrative role, preferably in an engineering or technical environment.
- Communication Skills: Strong verbal and written communication skills. Ability to communicate effectively with clients, suppliers, and team members at all levels.
- Leadership Abilities: Confident in giving direction to team members, particularly in a multicultural environment. Comfortable with managing and prioritising multiple tasks at once.
- Patience & Cultural Sensitivity: Comfortable working with a diverse team, including those who are new to the country and may have limited language proficiency. Ability to be patient and clear in communication.
- Organisational Skills: Highly organised, with the ability to prioritise tasks and keep track of various projects and deadlines.
- Tech Savvy: Familiarity with office software (e.g., Microsoft Office, Google Workspace, etc.) and experience managing job orders or CRM systems.
- Problem Solving: Ability to handle issues proactively and efficiently, with a solution-oriented approach.
- Payroll: Eventually this portion of the business will be handed over to the successful candidate so experience with Xero and MYOB is an advantage.
