Executive Coordinator, Biosecurity New Zealand
Role type: Fixed Term until March 2025
Location: Wellington City
Salary range: GSR Range G: $66,331 - $77,226 depending on skills and experience
Kōrero mō te tūranga - About the role
We are seeking an Executive Coordinator to join the wider Executive Coordinator Group which is part of the Biosecurity New Zealand business unit. This is a 6-month fixed term opportunity until the end of March 2025. You'll be providing executive, diary and management support to two of our Directors, and you'll be an important connection between the Directors and wider business.
The directorates this role will support are Pest Management, and Biosecurity Intelligence, Systems and Response. You will provide a cohesive approach to business support and support priority events or specific pieces of work.
As part of this role, you will:
- Manage the Directors' daily schedules in line with their work priorities.
- Facilitate the smooth running of the Director's office by providing general administrative and logistical support.
- Identify any relevant system and process improvement opportunities within the Directorate and Branch.
- Work as part of a cohort of Executive Coordinators across Biosecurity New Zealand.

Our ideal candidate will be able to demonstrate strong interpersonal and communication skills, a solution focused approach, and a proven ability to establish effective relationships. These are fast-paced Directorates and need someone who can move at pace whilst maintaining a strong attention to detail.
In this role, you will have the opportunity to showcase your collaboration and organisational skills to provide a high level of support to our business. This position would suit a Support Officer, Administrator or Coordinator looking to further their career.
You'll quickly acquire a reputation for acting with initiative and your ability to think on your feet will give confidence that you will successfully manage multiple priorities and deadlines. Your energetic, can-do attitude and ability to change gears in response to the ebb and flow of the Director's schedule to ensure you always remain across the work.
To be successful in this role, you will be able to demonstrate:
- Prioritisation, planning, and work management skills in a fast-paced environment – all based on understanding the key priorities of the business
- Good knowledge and experience in improving and implementing administration and business support systems and processes
- Strong communication and interpersonal skills to foster collaboration
- Experience of implementing electronic and physical records management
- Strong understanding of MPI's internal processes and systems e.g., Activate, CiAnywhere
- Strong understanding of MS Office products, e.g., Word, Excel, PowerPoint

This is a Wellington based role, you will work closely with the two Directors and at times provide support to the wider Biosecurity New Zealand Leadership team.
