Mō te tīma | About our Team

This role sits within All of Government Services Delivery (AoGSD), part of the Digital Services Branch who bring together the functions that deliver services to or for the public sector and is responsible for an All of Government Portfolio of digital products and ICT Services. The role of the Digital Service branch is to work with and through agencies to drive and deliver a customer-centered digital government.

We champion the use of Common Capabilities and centralized essential information products and services across agencies, as well as championing All of Government standards and guidelines.

The Back Office Digital Transformation Service (BoDTS) is one of these centralized services and has been created to reduce the cost, risk, complexity and time taken to deliver back-office systems, through standardised, high quality, all-of-government processes, tools and systems.

The Service provides agencies with a common set of standardised processes and will provide tools to support agencies as they modernise their back-office functions (e.g. HR, Finance, Procurement) making use of previously used collateral and design to streamline the process, to lower cost and risk, and to increase efficiency.

He angitūtanga | About the Role

The Master Back-office Library (MBOL) is an information management system used to collect and store collateral from Agencies and Suppliers who have completed their back-office modernisation journey.

As an information management guru this role will lead the development, management and maintenance of the Master Back Office Library (MBOL) and champion information management best practice. A critical position within the Saas/Master Back Office Library team this role will support the MBOL Curator in the collection, storage, maintenance and management of agency collateral and intellectual property, so that it can be easily accessed and shared across the system.

Utilising your knowledge of information architecture, and administration you will provide guidance and advice on information management and records collection ensuring records are created and maintained meeting specified information management, legislation and privacy standards.

You will be responsible for;

  • Overall management of the MBOL in collaboration with the MBOL Curator, and MBOL/SaaS Manager and team.
  • Ensuring that the Information Architecture supports a customer-centered use of BoDTS collateral
  • Providing advice on best practice information and data management to all stakeholder groups, both internally and externally
  • Support and governance of the technical architecture and framework of the MBOL in alignment with the NZ All of Government Common Process
  • Ensuring collateral is compliant to the security, privacy and copywrite policies for the MBOL and all information management standards met
  • Organising and maintaining the meta data of the MBOL content
  • Providing training collateral/process documents to assist in documents being appropriately managed and shared
  • Ensuring that the end user experience of MBOL is positive and the access to, use of and exchange of information is timely and efficient
  • Supporting all aspects of the MBOL Curators work
  • Leading problem-solving sessions with a variety of stakeholders when required
  • Establishing and maintaining strong collaborative working relationships across the BoDT Service teams and promoting the benefits of the MBOL and BoDTS services

He kōrero mōu | About you

As an information management expert, you're comfortable leading the establishment of a new Master Back Office Library and managing all facets of excellent data storage and retrieval practices. Naturally inquisitive you will collaborate with Subject Matter Experts and SaaS MBOL team on the initial MBOL model but will also ensure the MBOL adapts and evolves as the BoDT Service matures.

To excel in this role you will have;

  • Experience in a similar role (5+ years) within a large or complex organisation
  • Demonstrated experience implementing information and records management practices and document control including classification, retrieval, and retention processes
  • In depth experience with information management systems and information repositories e.g Content Management Systems or Data Management Systems
  • Proven experience in managing, organising, and maintaining large datasets, ensuring data integrity and accessibility
  • Knowledge of database systems and software, such as SQL, to manage and query data
  • Experience and proficiency in SharePoint with the flexibility to adapt to changing technologies and processes within the data management landscape
  • Experience in successfully managing diverse stakeholder relationships both internally and externally
  • Knowledge of specified information management standards and legislation including knowledge of public sector information management, including compliance with the Public Records Act 2005, and knowledge of data privacy laws and regulations (e.g., GDPR, New Zealand Privacy Act) to ensure the privacy and security of data
  • An understanding of the machinery of government and public sector processes
  • Excellent communication and relationship building skills
