Your day-to-day:

  • Provide ongoing support to Project & Programme Managers by coordinating meetings, taking minutes, and preparing reports.
  • Create and manage new Project sites on SharePoint and Confluence during the initial phase.
  • Lead the organization of weekly and monthly BTO meetings, including setting agendas and producing detailed minutes.
  • Follow guidelines to produce comprehensive Project Closure Reports for all completed projects.
  • Implement communication strategies to keep stakeholders informed and engaged throughout the project lifecycle.
  • Assist the Head of BTO with the coordination of the fiscal year planning cycle, ensuring alignment with strategic goals.
  • Collaborate with the BTO Analyst to develop and report on the Celoxis roadmap, ensuring accurate tracking of project progress.
  • Regularly update content and identify improvements to maximize the value of BTO SharePoint and Confluence sites for key stakeholders.
  • Compile and produce the BTO Monthly Report and the EPG Report, ensuring accurate and timely information dissemination.
  • Oversee the BTO Resource Planner, Kanban, and Shared Calendar to ensure efficient resource allocation and task management.
  • Build and maintain strong relationships with internal and external stakeholders, setting realistic goals and timeframes for project completion.

A bit about you:

  • Minimum of three years' experience in a project management office or technology/business change environment.
  • Proven ability to work across various business divisions with excellent presentation and communication skills.
  • Strong organizational skills, attention to detail, and ability to drive initiatives forward.
  • Proactive, results-oriented, and customer-focused approach to delivery.
  • Experience with standard office products and communication tools like Excel, Word, PowerPoint, Teams, and Slack.
  • Proven experience in stakeholder engagement with divisions including IT, Operations, Marketing, Retail, Finance, and external suppliers.
  • Experience in delivering projects based on Agile methodology is desired.
  • Relevant tertiary qualification or equivalent work experience.
