About the Role

We are seeking a motivated and detail-oriented Administrator to join a dynamic construction project team. Based on-site in the Taupo District, you will be supporting the project requirements through tasks such as purchasing, invoice processing, accruals, office support, and more. This is an exciting opportunity to play a key role in ensuring smooth operations and successful project delivery.

Key Responsibilities

  • Create and manage purchase orders (POs) and requisitions in line with project protocols.
  • Work with the project team to obtain quotes for materials, supplies, and services, securing the best possible terms.
  • Track and verify vendor documentation to ensure quality and accuracy.
  • Identify and resolve site issues that may impact the project’s progress.
  • Collaborate with the Logistics Department to manage transportation-related purchase orders.
  • Review supplier receiving documents and invoices, resolving any discrepancies.
  • Handle financial processes such as expense reporting, invoicing, and office supply inventory.
  • Request and review lien waivers to mitigate risk on all POs and invoices.
  • Accurately report on monthly accruals, working closely with the project team.
  • Collect, analyse, and prepare monthly project reports with project managers and the construction team.
  • Set up and maintain suppliers in project management and accounting systems.
  • Assist with vendor banking information and setup.
  • Undertake site visits and manage deliveries as required.
  • Maintain project records, databases, and relevant documents.
  • Assist with maintaining a professional office presentation and ensuring a welcoming environment for visitors.
  • Support meeting scheduling, travel coordination, and other activities as requested by the Office Manager.

Skills & Experience

  • Experience: 2-3 years in administration, coordination, or financial role ideally within the construction or similar industry though other experience will be considered
  • Skills: Strong organisational, communication, and time management abilities. High attention to detail and a proactive attitude.
  • Software: Experience in project management software (ideal), ERP systems, and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Attributes: Ability to manage multiple priorities efficiently in a fast-paced environment, both independently and as part of a team.
  • Problem-solving: Proactive in identifying and resolving challenges to ensure successful project delivery.
