Mā‎ wai te mahi nei? – Who are we looking for?

We are looking for a skilled Team Administrator with a can-do attitude to support our work leading New Zealand’s offshore humanitarian work and our development and humanitarian partnerships with multilateral organisations and New Zealand NGOs.

Roughly 40-50 per cent of the Team Administrator role supports the Divisional Manager with diary management, divisional budgeting, tracking and reporting, high level visits, and other activities that underpin the effective operation of the division.

The other 50-60 percent of the role is focussed on supporting the Division’s Humanitarian team to deliver fast and effective humanitarian responses to international emergencies.  This includes assisting the team to maintain the Ministry’s humanitarian ready response capabilities (including maintaining a roster of trained after hours duty and response staff, supporting annual training and exercises, and maintaining a library of up to date standard operating procedures and our deployment kit).  During emergency responses, the role leads our Emergency Coordination Centre support function, helping to ensure the team can move seamlessly from BAU to emergency response and training other Team Administrators to perform this function.

You will be an experienced, highly organised and motivated administrator with strong budget management, relationship and influencing skills.  You will be comfortable and adept at working in fast paced situations at times. There will on occasion be a need to work outside normal hours and this will be remunerated in line with Ministry policy. We would love to hear from you if you are an experienced administrator with the following:

  • Experience providing administrative support and customer services.
  • The ability to work with a range of software applications and administrative and financial corporate data systems, including word processing, databases, electronic file management systems and presentations.
  • The ability to juggle tasks with numerous stakeholders and competing priorities with a calm and friendly approach.

We're not all about the technical skills though. Your passion, motivation and focus with the ability to deliver to customer deliverables in a fast-paced environment are key in our team! As is your attention to detail, use of initiative, proactivity and problem solving skills.

Ideally you will also have a good understanding of tikanga (Māori customs and protocols), with the ability to weave te ao Māori (the Māori worldview) into your work. If you are just starting on this journey that’s OK too – as long as you have a willingness to learn and a desire to develop your cultural capability.  As a Te Tiriti o Waitangi partner, this is important to us and we offer training and support.
